Describe the operation precisely
Burnaby requires home-business licensing and publishes conditions covering resident-only employment, external storage and on-site customers. Its listed limit is one customer and one customer vehicle at a time. Review the full rules with Licensing for the proposed arrangement, especially before adding staff or changing the activity.
Make an operating note that describes what happens at home, where customers are served, where goods are stored and what equipment is used. A label such as consultant or online seller is less informative than the actual workflow. Keep the current City response and licence record beside that description.
Separate the address decision from the expense decision
An allowable municipal activity and a deductible business expense are different questions. Record client purpose, dates and supporting invoices for room rentals, software, equipment and other costs. Shared household spending needs its own supported treatment rather than a percentage chosen simply because the business uses the address.
When work moves to a third-party room, retain the booking agreement and actual invoices. Confirm permissions at that location independently; hiring a room should not be treated as an automatic extension of a home-business licence. The owner and relevant authorities decide what approvals apply.
Illustrative example: consulting sessions move off site
A Burnaby consultant plans six client sessions a month. A meeting-room option costs $85 per session, giving $510 before applicable taxes. A different arrangement costs $700 monthly plus $35 for each session, or $910 at the same volume. The $400 monthly difference is visible before the consultant commits to a longer agreement.
The owner also checks cancellation terms, travel time, privacy and the availability clients need. The cheaper option may not meet every operating requirement. These figures compare two hypothetical commercial offers; they are not City licence fees or an assertion that either arrangement has been approved.
Keep a simple change and renewal record
Log the date of any activity change, what was discussed with Licensing and whether a revised application or other step is required. Record the actual renewal information from the issued licence. Keep the business contact and document access current so an administrative notice does not remain in an unused inbox.
For bookkeeping, preserve the distinction between owner funding, client receipts and business spending. A clear financial file supports an informed decision about staying home, renting meeting space or moving premises. It does not substitute for checking whether the current operating facts still meet the applicable rules.
